Privacy Policy

Accuroll (“Accuroll,” “we,” “us”) provides a workforce platform for skilled nursing facilities: badge-based time and attendance, scheduling, payroll records, and staffing reports. This policy explains what information we collect, how we use it, and the choices you have. It covers our websites (accuroll.io), the Accuroll application (app.accuroll.io), and related services.

Accuroll works for your facility

Accuroll is business software. Facilities (your employer or the organization that operates your building) sign up for Accuroll and decide what workforce data to collect and how to use it. For most of the data described below, the facility is the data controller and Accuroll processes it on the facility’s behalf and instructions. If you are a worker with questions about how your employer uses Accuroll — or want records corrected or removed — your facility administrator is usually the fastest path, and we help them fulfill those requests.

Information we collect

Account information

Name, work email address, role (for example front desk, LNHA, owner), and sign-in credentials. You can sign in with a password or with Google; authentication is handled by Google’s Firebase Authentication, and we never see your Google password.

Workforce records entered by your facility

Job title, department, licenses and credentials, schedules, pay rates, timesheets, and payroll records such as hours worked and pay stubs. Your facility controls these records.

Badge presence data

Staff badges are small Bluetooth beacons. Gateways installed inside the facility detect nearby badges and record which badge was seen, by which gateway, at what signal strength, and when. Accuroll turns that into building, floor, and zone presence — who was in the building and where, to the minute — which powers attendance and payroll records. Badges do not contain GPS and are not tracked outside the facility: presence is only recorded where the facility has installed gateways, on its own premises.

Resident staffing data

Facilities may record resident census and acuity information to plan staffing coverage and produce staffing reports. This information belongs to the facility, is access-controlled to authorized facility staff, and is used only to provide those features.

Billing information

Facility subscriptions are billed through Stripe. Card and bank details go directly to Stripe; Accuroll does not store full payment card numbers.

Technical and usage information

Log data such as IP address, browser and device type, pages visited, and timestamps; and a session cookie that keeps you signed in. We do not use advertising cookies or third-party ad trackers.

Support communications

Messages you send us through in-app support or email.

How we use information

  • To provide the service: attendance, scheduling, payroll records, staffing reports, and dashboards.
  • To keep the service secure: authentication, role-based access, audit logs, and abuse prevention.
  • To send service emails such as invitations, reminders, and daily digests.
  • To provide support and respond to requests.
  • To bill facility subscriptions.
  • To comply with legal obligations, including employment record-keeping requirements.

We do not sell personal information, and we do not use it for third-party advertising.

How information is shared

  • With your facility. Your employer and its authorized administrators see the workforce data described above — that is what the product is for.
  • With service providers. We use vetted providers to run Accuroll: Google Cloud and Firebase (hosting, authentication, databases), Stripe (billing), Resend (transactional email), EMQX (secure transport of badge telemetry), and Anthropic (AI assistant features, only where a facility has enabled them). Providers may process data only to provide their service to us.
  • For legal reasons. If required by law, subpoena, or to protect the rights, safety, or property of Accuroll, our customers, or others.
  • Business transfers. If Accuroll is involved in a merger, acquisition, or sale of assets, data may transfer with the business, subject to this policy.

Security

We encrypt data in transit, scope access by role and by building, log administrative and data access activity, keep backups with point-in-time recovery, and automatically sign out idle sessions. No system is perfectly secure, but security is a design requirement across Accuroll, and we notify affected customers of any breach as required by law.

Retention

We keep data for as long as the facility’s account requires it, and afterward as needed to meet legal obligations — payroll and staffing records in particular carry statutory retention periods. When data is no longer needed, we delete or de-identify it.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. Because facilities control most workforce records, we often fulfill these requests together with your employer. To exercise a right, contact your facility administrator or email us at office@accuroll.io — we respond to all requests consistent with applicable law, and we do not discriminate against anyone for exercising privacy rights.

Children

Accuroll is workplace software and is not directed to anyone under 16.

Changes to this policy

If we make material changes we will update this page and its date, and for significant changes we will notify facility administrators directly.
